Fieldcraft Tours — Terms & Conditions
1. About Fieldcraft tours
Fieldcraft tours, Fieldtrips and skills programs are small-group outdoor learning experiences. Programs are built around the group, the conditions and the available terrain. A stated objective may guide the trip, but no summit, route, descent, climb, crossing or itinerary is guaranteed.
Final plans may change because of weather, snow, avalanche conditions, surface ice, river levels, road access, fire danger, group ability, health, equipment or guide judgement.
2. Booking model
Bookings are generally made as a private group of four participants unless otherwise agreed in writing.
A booking is confirmed when the required deposit or full payment has been received and the participant or booking organiser has accepted these terms.
The person making the booking is responsible for ensuring all group members receive these terms, complete required waivers or medical forms, and understand the program requirements.
3. Prices and payment
All prices are in Australian dollars and, where applicable, GST-inclusive.
The price includes only the items listed on the relevant product page, invoice or booking confirmation. Inclusions may vary between day trips, overnight trips, Fieldtrips and custom programs.
Unless otherwise stated, participants are responsible for their own personal clothing, technical equipment, travel insurance, medical expenses, evacuation costs, and any personal purchases.
Final payment is due by the date listed on the invoice or booking confirmation. Fieldcraft may release an unpaid booking if payment is overdue.
4. Cancellations by the participant
Participant cancellations must be made in writing.

Where a participant cannot attend, they may nominate a replacement participant, provided the replacement is suitable for the program, completes all required forms, and is accepted by Fieldcraft before the trip starts.
5. Cancellations or changes by Fieldcraft
Fieldcraft may change, postpone or cancel a program if guide judgement, weather, terrain, snowpack, access, safety, road closure, fire danger, illness, emergency or other operational factors make the original plan unsuitable.
Where the program can proceed safely in a modified form, the booking will continue. This may include a different objective, lower-consequence terrain, skills sessions, route changes, base-based learning, or altered daily plans.
Where Fieldcraft cancels the whole program before it begins and cannot offer a suitable alternative, participants will be offered a transfer, credit or refund of the program fee.
Where a program is shortened or changed after it has begun because of safety or conditions, refunds are not automatic. Fieldcraft may offer a partial credit where the change materially reduces the delivered program.
6. Conditions-led programming
Outdoor programs are inherently conditions-dependent. Participants acknowledge that the safest and most valuable version of the program may not be the most ambitious version.
A booking purchases professional planning, guiding, instruction, decision-making and support. It does not purchase a guaranteed objective.
Fieldcraft may choose to turn around, wait, change terrain, cancel a planned descent, avoid a summit, remain at base, or run an alternative skills program where that is the safer or better learning outcome.
7. Participant responsibilities
Participants must:
provide accurate information about fitness, experience, medical conditions and emergency contacts
bring required equipment and clothing
follow guide instructions
behave respectfully toward guides, other participants, land managers and the public
avoid reckless behaviour or intoxication
speak up early about fatigue, cold, fear, injury, uncertainty or discomfort
accept that conservative decisions may be made for the group as a whole
Fieldcraft may exclude a participant from all or part of a program if they are underprepared, unsafe, unwell, intoxicated, disruptive, dishonest about their ability, missing essential equipment, or unwilling to follow instructions.
8. Equipment
Participants must bring all required personal equipment listed in the trip information.
Fieldcraft may refuse participation where missing, unsuitable or faulty equipment creates an unacceptable risk. This includes, where relevant, avalanche rescue equipment, touring gear, helmet, waterproof clothing, insulation, headtorch, navigation tools, sleeping system, technical tools or required footwear.
Refunds are not guaranteed where a participant cannot join because they arrived without required equipment.
9. Risk acknowledgement
Fieldcraft programs may involve alpine, backcountry, climbing, ocean, remote-area or other outdoor hazards. These may include falls, avalanches, ice, rockfall, hypothermia, heat illness, drowning, weather exposure, navigation error, remoteness, equipment failure, transport risk, fatigue, wildlife, medical events and delayed rescue.
Participants acknowledge that risk cannot be eliminated. Fieldcraft will take reasonable steps to manage risk, but participants remain responsible for their own conduct, preparation and decisions.
Nothing in these terms excludes rights that cannot be excluded under Australian Consumer Law. The ACCC states that businesses cannot remove consumer guarantee rights with blanket “no refunds” statements, and consumers may have remedies where services are not provided with the required guarantees. The Australian Consumer Law applies nationally across Australian states and territories.
10. Medical, emergency and evacuation
Participants authorise Fieldcraft guides or representatives to arrange first aid, medical assistance, evacuation or emergency services where reasonably necessary.
Participants are responsible for costs associated with ambulance, medical care, rescue, evacuation, transport changes or accommodation changes unless otherwise required by law.
Participants should hold appropriate ambulance cover, travel insurance and activity-specific insurance where relevant.
11. Insurance
Fieldcraft will maintain appropriate business insurance for its operations.
Participant personal accident, travel, ambulance, rescue, equipment and cancellation insurance are not included unless expressly stated.
12. Photos, video and media
Fieldcraft may take photos or video during programs for training, safety, documentation or promotional purposes.
Participants may opt out of promotional use by notifying Fieldcraft in writing before the program. Fieldcraft will not intentionally publish sensitive medical, personal or emergency information without consent.
13. Privacy
Participant information is collected for booking, communication, safety, medical, emergency and program delivery purposes.
Medical and emergency information may be shared with guides, emergency services or relevant staff where reasonably required for safety or care.
14. Third-party providers
Some programs may involve accommodation providers, transport providers, rental providers, land managers, resorts, parks authorities or other third parties.
Fieldcraft is not responsible for third-party cancellations, closures, fees, delays or service changes, except where required by law.
15. Land access and permits
Participants must comply with all park, resort, road, land manager, cultural heritage and environmental requirements.
Fieldcraft may alter or cancel activities where access is closed, restricted or no longer appropriate.
16. Force majeure
Fieldcraft is not liable for failure or delay caused by events outside reasonable control, including severe weather, natural disaster, fire, flood, pandemic, road closure, resort closure, government direction, emergency response, guide illness, transport disruption or unsafe conditions.
Where possible, Fieldcraft will offer a practical alternative, transfer, credit or refund depending on the circumstances.
17. Governing law
These terms are governed by the laws of Victoria, Australia.
